At the heart of Taxi-Flow is a driver's bookkeeping. Around it, everything that saves time on the road: a taximeter, inspection rounds, documents, accident reports. Here is, in detail, what the app does for you.
Your income falls into six categories: regular trip, taxi trip, medical trip, airport trip, tip and other income. Your expenses have 16 categories built for the job: fuel, car wash, car insurance, garage and repairs, tires and maintenance, oil changes, meals, SAAQ, phone, supplies, cleaning products, parking and more.
Expenses that come back every month can be saved as automatic recurring expenses, and repairs are declared in the same register.
Why it helps: at tax time, nothing has to be rebuilt from memory. Everything is already sorted, dated and totalled.
The 5% GST and the 9.975% QST are calculated automatically on your expenses. Your reports show the tax totals payable for the period, with no hand calculations and no formula spreadsheet.
Why it helps: a driver registered for taxes has to file returns without errors. Taxi-Flow prepares the numbers; your accountant has the final say. See also our guide to GST and QST for drivers (in French).
Pick the period: day, month, 3 months or year. The report shows your income, your expenses, your net balance and the detail by category, with the GST and QST totals payable.
Every report exports to an accountant-ready PDF report, ready to hand to your accountant or attach to your tax return.
Why it helps: you finally see, period by period, what your work really earns once the expenses are paid.
Before you set off, the app guides you through a checklist of 23 points. Each defect found is classed as MINOR, to be repaired within 48 hours, or MAJOR, in which case the vehicle must not be driven.
Your rounds are kept in a history with a calendar and export to PDF. The list draws on Quebec obligations for paid transportation (Regulation respecting transportation services by taxi, s. 33; additional devices for adapted vehicles, s. 65), without replacing your judgement or guaranteeing legal compliance.
Why it helps: if you are stopped or there is a dispute, you have dated proof that the inspection was done. Details in our safety round guide (in French).
Your documents watch themselves. Permits, insurance, registration: Taxi-Flow reads the expiry dates and warns you before it is too late. No more costly oversights at a roadside check or at renewal time.
Smart scans automatically read your invoices, receipts and documents. For an invoice or receipt, the amount, GST, QST, supplier and category are recognized, and the expense arrives pre-filled, ready for you to approve, with no typing. The Driver Documents section keeps your taxi permit, your SAAQ pocket document, your insurance and your vehicle attestation in one place.
Expiry alerts and reminders warn you before a document comes due.
Taxi-Flow watches your dates while you watch the road. Every deadline is monitored: your documents, your SAAQ mechanical inspection and your taximeter inspection. At 30 days before the deadline, a first warning in green. At 14 days, the friendly reminder turns yellow. In the final 7 days, it is red, urgent, impossible to miss.
Why it helps: a document requested during a stop is found in seconds, and no renewal is forgotten.
An accident report filled in on the spot, in a few minutes, with no paper form. Taxi-Flow guides you step by step: both drivers, the location pinpointed by GPS, the photos, a sketch drawn with your finger, both signatures. The full PDF is ready on site, ready to send to the insurer. Nothing to recopy, nothing to re-enter later.
After a collision, the app guides you step by step: 911 emergency button and sharing of your GPS position, scans of driver B's documents, photos of the damage, a sketch drawn by hand right in the app, then both drivers' signatures.
At the end, Taxi-Flow generates the full PDF of the report, in order: drivers, location, photos, sketch, signatures and safety conditions.
Why it helps: in the stress of an accident, the guide prevents the oversights that later complicate the insurance file. See the steps in our joint accident report guide (in French).
Taxi-Flow includes a real taximeter that applies the official mechanics of the Commission des transports du Québec. Day rate and night rate, with automatic switching based on the trip start time: above the changeover speed, distance counts; below it, waiting time counts. Flag fall, per-kilometre price and the per-trip levy are included from the start, with the taxes broken out (GST and QST), since the rates include taxes.
Preloaded rates: daytime (5 a.m. to 10:59 p.m.), a $4.10 flag fall, $2.05 per kilometre and $0.77 per waiting minute; at night (11 p.m. to 4:59 a.m.), $4.70, $2.35 per kilometre and $0.89 per minute; a $1.05 levy per trip. Extras are added with one tap: wheelchair $25, luggage $5, pet $5, plus your own custom extras.
Every trip leaves a complete record: a trip log you can export to CSV, a PDF receipt for the customer with any discount and tip at closing, and the trip total recorded automatically in your bookkeeping, with no retyping. The meter settings lock with a PIN code; certified mode freezes the rate parameters, an event log tracks the changes and distance can be calibrated over a known course: the meter is built to be presented to an agent for verification.
Why it helps: the same phone runs the meter and the books. No more copying the day's total by hand at night.
Entering your income and expenses and doing your safety rounds works with no signal. As soon as the connection returns, everything syncs automatically with your account.
Why it helps: Quebec routes include areas with no signal. Your bookkeeping and your round records should never depend on it.
Taxi-Flow works fully in French and in English. The realities are the local ones: Canadian dollars, Quebec taxes, SAAQ documents and local formats.
Why it helps: no mistranslated term, no category designed for another country. The app speaks the way drivers here work.
